1. Who we are

EGXSCALES is a management company based in Alberta, Canada. We set clients up on Yonder, our CRM, manage it with them, and help them grow with websites and ads. This policy explains how we handle personal information on this website and in our work.

We follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), Alberta's Personal Information Protection Act (PIPA), Quebec's Law 25 where it applies, and, for visitors in the EU or UK, the General Data Protection Regulation (GDPR and UK GDPR).

2. Privacy Officer

3. What we collect

• Information you send us: your name, business name, email, phone number, the services you're interested in, your best time for a call and your message.
• Call and email notes: if we talk, notes about what we discussed.
• Client information: business information and account access you give us so we can deliver your services.
• Technical data: basic device and browser information needed to run the site, and, only with your consent, analytics and marketing cookies.
• Consent records: your cookie choices and email-marketing consent, so we can show what you agreed to.

4. Why we use it

• To reply to you and book calls.
• To prepare quotes.
• To deliver the services in your written agreement: Yonder setup and management, websites and ads.
• For billing and business records.
• To send marketing emails, only if you opted in.
• To improve the site with analytics, only with your consent.
• To meet our legal obligations.

For EU/UK visitors, our legal bases are: consent (cookies, marketing emails), contract (delivering services you've asked for or agreed to), legitimate interests (replying to inquiries, running and securing our business) and legal obligation (tax and accounting records).

5. Client data we handle for you

When we manage your Yonder CRM or ad accounts, we process your customers' information on your behalf and only on your instructions. You remain responsible for the privacy notices you give your own customers. A data processing agreement is available on request.

6. Who we share it with

Only with service providers that help us run the business:

• Website hosting and database: Lovable Cloud (built on Supabase).
• Email: Google.
• Yonder, our CRM.
• For client campaigns, the ad platforms you choose (Google, Meta).

We never sell or rent personal information.

7. Where it's stored

Contact form submissions and consent records are stored in our database hosted in Canada (Montréal region). Some of our providers, including our website hosting network, Google and the ad platforms, may store or process information outside Canada, including in the United States. When that happens, the information may be subject to the laws of those countries. Contact our Privacy Officer at egxscales@gmail.com to learn more about our service providers outside Canada.

8. How long we keep it

• Inquiries that don't become clients: up to 24 months after our last contact, then deleted.
• Client records: for the length of our agreement, plus as long as needed for legal, tax and accounting requirements. Canadian tax records are generally kept for six years.
• Consent records: as long as needed to prove consent.

9. How we protect it

Access is limited to the people who need it. The site uses encrypted connections (HTTPS). We rely on our providers' security controls, and contact form submissions go into private database tables that can't be read publicly.

10. Your rights

You can ask to access the information we hold about you, correct it, withdraw your consent, or have it deleted where possible. If you're in the EU or UK, you also have the rights to erasure, restriction, portability and to object. California residents can also ask us about their privacy rights. We reply within 30 days. 11. Marketing emails

We only send marketing emails with your consent. Every email identifies us and includes a working way to unsubscribe. We act on unsubscribe requests within 10 business days, as required by Canada's Anti-Spam Legislation (CASL).

12. Automated decisions and AI

We don't make decisions about you based solely on automated processing. Sidekick, the AI in Yonder, only suggests and drafts. A person approves anything that's sent.

13. Cookies

We use strictly necessary storage to run the site and remember your cookie choice. Analytics and marketing cookies only run if you opt in. See our Cookie Policy for details.

14. Children

Our site and services are not directed to anyone under 16, and we don't knowingly collect their information.

15. Privacy incidents

If a breach creates a real risk of significant harm, we'll notify affected people and the relevant regulators as required by law.
